Who we are and what this notice covers

SCOUTIFY LABS sp. z o.o. is the controller for personal data processed through this public marketing website. Contact us at [email protected] about this notice or your data.

Our registered name is SCOUTIFY LABS SPÓŁKA Z OGRANICZONĄ ODPOWIEDZIALNOŚCIĄ. We are registered in Poland under KRS number 0001275193 and tax identification number (NIP) 7011337534, with share capital of PLN 5,000. Our registered address is ul. Stefana Batorego 18/108, 02-591 Warszawa, Poland.

Our registry court is Sąd Rejonowy dla m.st. Warszawy w Warszawie, XIII Wydział Gospodarczy Krajowego Rejestru Sądowego.

This notice covers the public Scoutify landing pages, website enquiries and website analytics. It does not cover product accounts, scouting reports or other data processed inside the Scoutify application.

Website delivery and security

Cloudflare hosts and delivers this website. It processes connection information, including IP addresses, browser information and request details, to deliver pages and protect the service. Our legal basis for operating and protecting the website is our legitimate interest in providing a reliable, secure public website (Article 6(1)(f) GDPR).

We use aggregated Cloudflare request totals to understand traffic to public pages. The reports we retrieve do not include visitor IP addresses, visitor identifiers, full referrers or query strings. This reporting uses no browser analytics script, cookie or fingerprint. Totals may include automated traffic and do not represent individual visitors. Fonts and website images are served from this website, without calls to Google Fonts.

Contacting us

The contact form collects your name, email address and message so we can reply to your enquiry by email. Please do not include sensitive personal information or confidential player records. You can also email us directly.

We use enquiries to answer questions and discuss Scoutify with you. For business contacts, our legal basis is our legitimate interest in responding to requested communications (Article 6(1)(f)). Where you personally request steps towards a contract with us, Article 6(1)(b) applies. Submitting an enquiry does not subscribe you to a newsletter and does not depend on accepting analytics.

Web3Forms, operated by Web3Creative, processes form submissions on our behalf and delivers enquiry emails. Its published privacy policy describes processing of submission data, connection information and anti-spam checks, including possible sharing of IP and email addresses with spam-prevention providers. Its Data Processing Agreement describes its processor role and subprocessors.

Optional Google Analytics

Google Analytics 4 loads only after you accept analytics. Our legal basis is your consent (Article 6(1)(a)). It measures visits, page engagement, outgoing links and successful contact submissions using cookie identifiers, browser and device information and approximate location. We do not enable Google Signals or advertising consent in our website tag.

The enquiry event contains a fixed form identifier, not your name, email or message. Page URLs sent by our configuration exclude query strings and fragments; referrers are reduced to their origin. We do not use session replay, keystroke recording or analytics User-ID on these landing pages.

See Google's information for visitors to partner sites and its privacy policy. Standard aggregate reports may remain available separately from user-level and event-level retention controls.

Cookies, storage and withdrawing consent

Essential local storage, named scoutify:marketing-consent:v1, remembers your analytics choice, notice version and expiry for up to 180 days. It is used only to respect that choice, based on our legitimate interest in managing privacy preferences. If storage is unavailable, the choice lasts for the current page and we ask again on your next visit.

After acceptance, GA4 cookies use the scoutify_landing prefix and stay on the current hostname. They expire no later than your current choice, up to 180 days, without automatically extending that period on each visit. Choices are separate on each domain.

Use Cookie settings in any footer to reject analytics or withdraw consent as easily as you accepted. Rejection keeps Google Analytics off, including cookieless measurement pings. Withdrawal stops measurement, clears this landing's analytics cookies and reloads the page. It does not erase data already sent to Google or remove cookies belonging to the separate Scoutify application. Withdrawal does not affect the lawfulness of earlier processing.

Recipients and international processing

Enquiries are handled by Scoutify team members who need to respond, our form processor and the email services used to deliver and store correspondence. Website hosting providers process requests, and Google receives analytics data only if you accept.

Providers may process data outside the EEA. Web3Forms states that it operates from India and that its DPA includes Standard Contractual Clauses for relevant international transfers. Information about other providers' transfer safeguards is available in Google's transfer framework and Cloudflare's privacy policy. Contact us for further information about recipients and applicable safeguards.

How long information is kept

Enquiries and related correspondence are kept for as long as needed to handle the request, any resulting business relationship and applicable legal obligations or claims. You can ask us to delete an enquiry.

Web3Forms publishes a maximum submission retention period of three years, unless a shorter period applies to the plan or data is deleted sooner. Hosting and email providers maintain their own service and security records under their applicable terms. These records are distinct from our aggregate website counts.

We use GA4's retention controls for user-level and event-level data. For scoutify.si, user-level and event-level retention are set to two months, without resetting user retention on new activity. Cookie and consent expiry remain separate. Contact us with questions about an enquiry or a retention period.

Your rights and complaints

Depending on the processing and applicable conditions, you can request access, correction, deletion, restriction or portability of your personal data. You can object to processing based on legitimate interests and withdraw analytics consent at any time. Contact us using the address above; we may need proportionate information to verify your request. We do not use website enquiries for solely automated decisions producing legal or similarly significant effects.

You can lodge a complaint with the President of the Personal Data Protection Office (UODO) in Poland, or another competent data protection authority, including the authority where you live or work in the EU/EEA.

Optional Google Analytics is off. Accept or reject analytics below. Essential storage remembers your choice for up to 180 days. Rejecting after acceptance stops measurement and reloads this page.
